You went out and measured up a job on Tuesday. You said the quote would be through in a day or 2. It is now Sunday night, the kids are in bed, and you are at the kitchen table pricing it up while the customer has already had two other quotes land. This article is about ending that, without hiring anyone and without any technical hassle.
What the paperwork really costs
The paperwork problem in the trades has been measured, and the numbers are ugly. Australian tradies report spending anywhere from 5 to 10 hours a week, sometimes more, on quoting, invoicing and paperwork (Undercurrent Automations), and 67% work weekends just to stay on top of it (ServiceTitan Australia). At the top end that is a full working day every week on work nobody pays you for.
It matters even more here. Construction is the largest business sector on the Sunshine Coast at 21.5% of registered businesses, ahead of the state average (economy.id). Where quotes actually die
A quote dies in one of three places, and none of them leaves a trace.
The call you missed. A study of 85 small businesses across 58 industries found only about 38% of calls were picked up (411 Locals study, summarised by Aira). Of the callers who reach voicemail, about 80% hang up without leaving a message, and about 85% of callers who do not get an answer never try again (Emitrr missed-call statistics). You were under a house. The phone rang out. No message, no record, no second chance, and you will never know what that job was worth.
The last bar is the one that costs money: a missed call is usually a job gone for good, and there is no record it ever happened. Sources for all three figures are listed at the end of the article.
The quote you never sent. You have seen the job, the measurements are in your head or on a photo, and the paperwork keeps getting bumped by dinner, sleep and the next day's work. Every day it waits, the customer gets closer to picking someone else, and your quote gets colder.
The follow-up you forgot. Sales research keeps finding that 40 to 50% of new enquiries never get any follow-up at all (IRC Sales Solutions and others). The quote went out, nobody replied, and chasing it kept slipping to tomorrow until it was forgotten. Same silence, same cost, no trace.
What can AI actually do for a small trades business?
It can run the paperwork side of the business so that nothing slips through the cracks: quotes drafted the same day you measure up, every enquiry logged and answered, every follow-up made on time, with you approving everything before any of it reaches a customer. It does not do the physical work and it does not price your jobs. It does the office work you currently do after dark.
Here is what the same-day quote loop looks like in practice:
- Measure up, then record one voice note. The measurements, the materials, the tricky parts, and your rough number for labour, spoken into your phone before you drive off.
- The system drafts the quote. Within the hour it has turned your note into a quote in your format, with your usual line items, your terms, and the customer's details already filled in.
- You check the numbers and approve it. The prices are yours: you set them and you can change any line. Approving takes about 30 seconds, wherever you are.
- The quote is emailed to the customer the same day. While the job is fresh in their mind and before the other quotes arrive.
- The follow-up happens every time. No reply after a few days? A polite follow-up is drafted and waits for your approval before it is emailed to the customer. Every quote gets chased, every time, without you carrying it in your head.
The same system fixes missed calls too. Enquiries that come in while you are in the middle of a job get a reply drafted within minutes, logged, and sent to the customer once you approve it, so a missed call no longer means a lost job. What AI will not do, honestly
- It will not price your work. You know what a job is worth on the Coast in this market. The system drafts around your numbers; it never invents them.
- It will not communicate with your customers without your approval. Nothing is sent to a customer, ever, until you have read it and approved it.
- It will not ask you to learn anything technical. We set it up, train you on it by screen share, and you use it the way you use your phone: read, approve, done.
- It will not fix a business with no work coming in. This stops the work you already have from slipping away. Winning more work is a different job, and if that is what your business actually needs, we will tell you straight.
