Square's free reports list your items A to Z and hide your profit behind a paid plan. So most owners only ever look at the daily total. Everything else you are paying Square to record is in the dashboard, a few menus in, and you have to go and dig for it.
Which Square reports should you actually open?
Three of them: sales trends, item sales, and your customer directory. All three are free on every Square account, and most owners have opened one of them at best.
Sales trends shows when your money comes in across the day and the week. Item sales shows what sold and how many. The customer directory shows who came back, built automatically from card taps. Together they cover the parts a daily total leaves out.
What Square's reporting buries
Open the item sales report and Square lists your products alphabetically, with no quick way on screen to rank your best sellers against the dead stock. It shows your sales but not your profit, because cost of goods sits behind a paid plan. One owner on Square's seller forum asked the obvious question: "why is cost of goods behind a paywall? That seems like a very basic metric to track." So you are left guessing at your margins unless you upgrade.
The digging carries on from there. If you take bookings, the details you want are spread across the dashboard, and owners describe pulling one report together by hand as a job that "takes a couple hours." Export a report to a spreadsheet and the total you actually want is often not a column, so you finish the sum yourself. Comparing this week against the last few is awkward, and that is the comparison owners ask for most.
| Report | What it shows | Where it stops |
|---|---|---|
| Sales trends | When the money comes in across the day and week | Will not flag the change or say why |
| Item sales | What sold and how many | Lists items alphabetically, and profit needs a paid plan |
| Customer directory | Who came back | You have to open it to notice who stopped |

How to get more from Square reporting today
Start with three moves.
Open your Square Dashboard on a computer, go to Reports, then Sales trends, and set the range to the last 90 days. Look for the quiet parts of your week you would not feel day to day. Next, in Reports, open Item sales, export it to a spreadsheet, and order the quantity column from high to low, which shows your best and worst lines in one view. Last, open Settings, then Account and Settings, then Notifications, and switch on the daily sales summary so yesterday's total reaches you without a login.
Those three moves cost you time, not money. What they will not do is watch the reports every morning and point out what moved.
Or let us do the digging
You can keep doing that dig yourself, every week, in the reports Square gives you. Or you can hand it over. We connect to your Square account read-only, leave your setup exactly as it is, and build custom reports that land every morning, so a line that has slipped or a regular who has gone quiet is already written down before you open up. It is the same morning report we set up across a business's numbers, pointed at Square. If the fees are the other half of the question, we also worked out where the card fees actually land between Zeller and Square.
